Privacy Policy

Oxford University Press KABUSHIKI KAISHA ("OUPJ", "we", "us" or "our") understands and appreciates the importance of the personal information of all the people who use the services provided by our company. In addition to complying with the Act on the Protection of Personal Information (the "Personal Information Protection Act") and all other laws and regulations regarding the handling of personal information, OUPJ will comply with the following privacy policy. By receiving our services, you are accepting the practices described in this privacy policy:

1. Acquisition of personal information

We will only acquire personal information by legitimate and ethical means.

2. Application and usage of personal information

This privacy policy applies to personal information which is obtained when the customer uses services provided by OUPJ.

3. Purpose of use of usage of personal information

We will use the personal information we acquire for the following purposes. Except where permitted under the Personal Information Protection Act or any other relevant law or regulation, we will not use an individual’s personal information for any purpose outside of those listed below, without that individual’s prior consent.

  • a) To manage and provide services for our members' clubs and to confirm membership;
  • b) To introduce materials or publications provided by OUPJ;
  • c) To send samples of materials or publications provided by OUPJ;
  • d) To inform customers about upcoming events and to manage registration for those events hosted by OUPJ;
  • e) To inform customers about special offers related to OUPJ and its direct affiliates;
  • f) To answer enquiries and requests to OUPJ received directly from the customer;
  • g) To research and develop future publications, services, events and special offers provided by OUPJ;
  • h) To operate purchase orders of products sold directly by OUPJ; or
  • i) Any other purpose incidental to those listed above.

4. Presentation of personal information to third party organizations

We will comply with the Personal Information Protection Act and all other relevant laws and regulations regarding the provision of personal information to third parties.

5. Sharing of personal information

We may, in accordance with the policies listed below, jointly share personal information acquired from customers by either OUPJ, Oxford University Press in the United Kingdom (OUPJ's parent company), foreign subsidiaries or representative offices that Oxford University Press in the United Kingdom controls ("OUP Group"), or our Business Partners.

The categories of personal information that may be shared are as follows: Contact information, such as names, addresses, phone numbers and email addresses, and all other categories of personal information that either OUP Group, or our Business Partners.

The parties who may share personal information are as follows: OUPJ, OUP Group and our Business Partners

The purposes of use of parties using personal information are as follows:

  • a) To manage and provide services for our members' clubs and to confirm membership;
  • b) To introduce materials or publications provided by OUP group;
  • c) To send samples of materials or publications provided by OUP group;
  • d) To inform customers about upcoming events and to manage registration for those events hosted by OUP group;
  • e) To inform customers about special offers related to OUP group and its direct affiliates;
  • f) To answer enquiries and requests to OUP group received directly from the customer;
  • g) To research and develop future publications, services, events and special offers provided by OUP group;
  • h) To operate purchase orders of products sold directly by OUP group; or
  • i) Any other purpose incidental to those listed above.

The party who is responsible for management of personal information to be shared is as follows:
OUPJ.

6. Entrusting of personal information to external organizations

In order to facilitate the tasks necessary for handling personal information use, OUPJ may entrust a whole or a part of the business and provide the necessary personal information to external vendors. In the case of entrustment, OUPJ will exercise necessary and appropriate supervision over the vendors. External vendors only use the data for the permitted purpose to facilitate the tasks and they shall not use it for any other purpose.

7. Security and management of personal information

We will handle all personal information in an appropriate manner and put in place proper measures to prevent the disclosure or loss of, tampering with, or damage to, any personal information in our custody, by implementing operational procedures internally and instructing our staff.

8. Requests regarding personal information

If we receive from an individual whose personal information we hold a request to disclose that information, to amend, supplement or delete that information, to temporarily suspend or permanently cease the use of that information, to cease providing that information to a third party, or to inform that individual of the purpose of use of that information, we will promptly respond to the request in good faith and in accordance with the Personal Information Protection Act and other relevant laws and regulations, after first confirming that the request is from the individual to whom the information relates.

Please note that we may not be able to respond to your request if it does not meet the requirements of the Personal Information Protection Act or if we are authorized by that law or other related law and regulations to refuse your request for disclosure or otherwise.

Also, please note that we may ask for your understanding if we charge a handling fee with respect to any request regarding the purpose of use of or disclosure of the personal information held by us.

9. Contact for inquiries

All requests, opinions, questions, complaints and other inquiries with respect to OUPJ's handling of personal information should be referred to either contact points in Japan or UK headquarters' contact email. If you contact with us via telephone, please contact during our working hours on weekdays from 9:30am until 5:00pm.

10. Application of this privacy policy and improvement

We continuously improve our policies and procedures for the handling of personal information, and as a result this privacy policy may be modified, as necessary.
